Are you a motivated self-starter with a passion for client service, organization, and business administration? Join our Client Intake Department as the primary administrative assistant and be the central nexus for managing client onboarding from first contact to signed engagement letter. In this role, you will drive our entire intake process using Monday.com as the backbone for all project management, collaboration, workflow automation, and tracking. Your expertise will directly safeguard against clients or leads falling through the cracks, ensuring every prospective client receives an outstanding experience and becomes a satisfied client.
Extensive, hands-on experience with Monday.com is mandatory for this position—you must be highly proficient in leveraging Monday for project management, workflow automation, team collaboration, and intake tracking.
What You’ll Do:
- Monday.com Project Management: Serve as the Monday.com expert for the department, set up client profiles, automate and track every stage of the intake process, and ensure all leads and engagements are managed within the system from start to finish.
- Pipeline Progress Champion: Act as the driving force behind monitoring and advancing prospective clients through every stage of the intake pipeline, proactively identifying and resolving any bottlenecks to ensure no client is left behind and every engagement moves efficiently into the hands of our tax professionals.
- Client Communication: Promptly request, receive, and follow up on client intake forms and required documents, acting as the friendly, reliable first point of contact.
- Software & Document Administration: Set up new clients in all relevant software platforms, send engagement letters for signature via DocuSign, manage client portals, and guarantee all documentation is complete, secure, and properly archived.
- Team Coordination: Maintain continuous communication with the intake tax advisor (CPA/EA) and Bookkeeper, providing updates and ensuring smooth handoffs for next steps—all coordinated through Monday.com.
- Engagement Follow-Through: Keep clients engaged and informed until they sign the engagement letter or opt out of services. Ensure no client is overlooked at any stage.

- Business Administration Experience: Proven experience in business administration is required.

- Strong Communication: Confident on the phone and in writing; skilled at following up and building rapport.

- Tech Savvy: Familiarity with Microsoft Office (Word, Excel); experience with OneDrive/SharePoint is a plus. Extensive experience using Monday.com is required as mentioned above.
- Bonus: Any administrative experience in financial planning, tax, or accounting is helpful, but not necessary.
